ProLinkAIM Concepts and Terminology

Assigned User

Throughout the application, you can associate the ProLinkAIM users to top-level records, such as deals and funds. These assigned users make up the internal team for the deal/fund. From the Assigned Users screen, you can view, add, and remove users associated to the record as well as identify the role they will play on the deal/fund.

Configuration Settings

ProLink and the agency's system administrator can define the parameters and options specific to the agency through Configuration Settings.

Data View

The ProLinkAIM reporting tool, Data Views, allows you to analyze information across the database. Each installation of the application includes over 70 configurable data views that provide detail on entities, funds, and deals.

Entity

Within ProLinkAIM, entities provide a quick reference to all the external partners associated with a particular top-level record, such as a deal or fund. Depending on which section of the application you are in, entities appear in the left navigation panel to provide information about the entity, their role on the project, and their contact information.

Most Recently Used (MRU)

The last records (deals, funds, portfolios) that you accessed. Use this list in the Main Menu of the left navigation panel to quickly access the records you work with regularly.

Object

An object is a record in the system, typically equivalent to an edit screen.

Picklist

Drop-down list that presents a finite set of choices for a field. A picklist might be a system picklist that provides a set of values defined by ProLink or a non-system picklist that the system admin can edit.

Record

Within the ProLink application data is stored as a "record." A record is a bucket that contains all information related to that area of the system. Examples of records within ProLinkAIM are properties, buildings, risk reviews, and benefits.

Security Role

Security roles dictate what users can and cannot see, as well as what functions they can and cannot perform. Each security role is associated with a functional area and specific authority for a screen, field, or button.

Utility

ProLinkAIM utilities are screens that help you set up records or activities, often in bulk.

Workflow

ProLinkAIM's automated workflows help manage your processes and documents through systematically generated emails that can be sent to external entities or internal users based on certain conditions and triggers.

Procorem Concepts and Terminology

Collaborator

A collaborator is a person whom you have invited into one of your Procorem WorkCenters. Collaborators have the ability to see all the information on the WorkCenter, but can be provided customized security settings to control how they interact with the information stored on the WorkCenter.

Procorem

Procorem is a secure portal technology that facilitates collaboration for all involved parties. Procorem immediately benefits agencies as internal and external parties can share, collaborate, and approve critical business documents in any format. Procorem integrates with ProLinkAIM and is often used as a secure portal to communicate with investors and property managers.

WorkCenter

WorkCenters are secure, private, online spaces which allow users to store, share and collaborate on work. For organizations, WorkCenters typically represent a deals and entities. Within WorkCenters, you can invite different collaborators, assign unique security privileges, upload documents, assign tasks, comment and create lasting posts, as well as monitor activity across entire projects. Think of WorkCenters as your primary communication point with your external investors and property managers. Procorem, and the related project WorkCenters, will last throughout the entire project lifecycle and provide a familiar location to manage all communications with your organization's stakeholders.

SmartDox Concepts and Terminology

GET

The process of pulling data from ProLinkAIM into a SmartDox-mapped document.

Mapped Field

A cell or location in a Microsoft Excel or Word document that has been prepared to get data from and/or send data to the ProLink application.

Mapping

A connection between a specific location in an Excel or Word document and the specific data from the ProLink application that will be displayed or edited in that location.

Schema

A collection of related data points from the ProLink application that can be accessed from a SmartDox template. A schema is based on a type of record from within the ProLink application (project, business deal, investment, and so on) and may consist of data points related to that record type and other Schema Groups that represent other associated record types.

Schema Group

A collection of data points for a record type associated with the primary record type of a Schema.

SEND

The process of pushing data from a SmartDox-mapped document into ProLinkAIM.

SmartDox

SmartDox is a Microsoft Excel and Word add-in that allows for the creation of Excel and Word documents that can get data from and send data to the ProLink application. These documents seamlessly communicate with the ProLink application, giving users access to view and modify critical business data using familiar Office tools, while keeping data in sync with the ProLink application. This empowers you to create charts, graphs, and pivot tables right in Excel which can readily be shared across the organization and with external stakeholders.

Template

A Microsoft Excel or Word document that has been prepared (mapped) to get and send data to and from the ProLink application.
